Overview

A fast-moving family in TriBeCa, NYC is seeking a high-ownership Personal Assistant / Household Manager to start asap. The perfect candidate will be a continuous learner - someone who is curious, thoughtful, and always looking for a better way to do things. The family need someone who can bring calm and order to a full life, anticipate what is coming, exercise excellent judgment, and follow things through all the way - while being warm, grounded, and genuinely helpful to the people around them.

The standard schedule is Monday through Friday, but life does not always fit neatly into a 9-to-5. The family are therefore looking for someone who can self-manage, distinguish what is truly urgent from what can wait, and be responsive when genuine household needs come up outside normal hours. The goal is not to be 'always on'; it is to be dependable, thoughtful, and there when it matters.

Responsibilities

  • Own the day-to-day rhythm of the household from A to Z, coordinating household staff, vendors, contractors, building staff, schools, caregivers, and service providers so things feel seamless rather than managed.
  • Manage personal and family calendars, appointments, school and childcare logistics, extracurriculars, personal travel, reservations, itineraries, and the inevitable last-minute changes - keeping everyone clear on what is happening and what comes next.
  • Stay ahead of household maintenance, repairs, recurring services, deliveries, installations, renewals, and special projects, carrying each one through to completion.
  • Manage purchasing, shipping, returns, inventory, errands, prescriptions, groceries, gifting, and special requests, with an eye toward anticipating recurring needs and important dates before they become urgent.
  • Keep household expenses, bills, subscriptions, reimbursements, refunds, vendor payments, and other personal administration organized, accurate, and handled with discretion.
  • Take multi-step projects and events from idea to done - researching options, building timelines, coordinating vendors, managing logistics and purchasing, and making sure every final detail is closed out.
  • Create simple, current systems for open items, vendors, household information, recurring obligations, deadlines, and decisions so everyone has the visibility they need without creating more work or more noise.

Technology, AI & Better Systems

This is a highly digital household, and the family want someone who sees technology and AI not simply as tools to use, but as building blocks for better ways of working. The opportunity is to create communication and operating systems that make information easier to find, reduce repetitive work, streamline handoffs, and ultimately free up time and mental space for everyone.

  • Be highly comfortable with Google Workspace, calendars, spreadsheets, email, messaging, video conferencing, password managers, task/project tools, and modern household and travel apps - and be willing to keep learning as the tools evolve.
  • Use tools such as ChatGPT, Claude, Instinct, and other AI or automation platforms to build practical workflows and communication systems - for example, turning scattered inputs into clear action lists, creating repeatable processes, organizing knowledge, drafting and routing communications, comparing options, and automating recurring administrative work where it makes sense.
  • Turn texts, emails, screenshots, receipts, confirmations, voice notes, and requests into organized, actionable information, with clear ownership and next steps rather than more digital clutter.
  • Bring strong judgment to all of it. Verify important facts, protect confidentiality, and never outsource discernment to AI. The family value someone who experiments thoughtfully, learns new tools quickly, and keeps asking: is there a simpler, clearer, more useful way to do this?

Qualifications

Candidates who will thrive here will be:

  • A continuous learner who is curious by nature, quick to pick things up, and energized by finding smarter ways to make a complex life run more smoothly.
  • Highly organized, proactive, and detail-oriented, with the ability to move quickly across many priorities without losing precision or warmth.
  • Someone with exceptional follow-through. If an answer is needed, you get it. If something is still open, you keep it on your radar until it is truly resolved.
  • Resourceful and persistent. When the obvious route does not work, you do not get stuck - you find another path, bring back thoughtful options, and keep things moving.
  • Confident enough to ask for what you need, follow up more than once, surface issues early, and help very busy people make decisions without adding unnecessary friction.
  • Calm under pressure, warm with children and staff, deeply discreet with sensitive information, and clear and polished in both written and verbal communication.
  • Naturally anticipatory and cost-conscious, with good instincts around urgency, tradeoffs, boundaries, and when something needs to be escalated.

Requirements

  • The family are open to either an experienced Personal Assistant / Household Manager with comparable private-household experience or an exceptional, less-tenured person who is unusually capable, hungry to learn, operationally strong, and genuinely excited by technology and better systems.
  • Experience supporting a high-net-worth household, founder or executive, family office, hospitality environment, or another similarly demanding setting is strongly preferred. Experience coordinating household staff and vendors is especially valuable.
  • Strong knowledge of New York City vendors, services, neighborhoods, and logistics is a major advantage.
  • You must live within a reasonable commute of TriBeCa, be authorized to work in the U.S., hold a valid driver's license, provide strong references, and be available for early mornings, evenings, weekends, travel, or urgent situations when genuinely required.
  • Available to start ASAP.

Salary and Benefits

  • $140,000+ base compensation, commensurate with experience and fit.
  • Healthcare stipend.

This is a meaningful role for someone who likes being trusted with a lot, takes real pride in making other people's lives work better, and gets satisfaction from turning complexity into calm. The best person for this role will not just keep up with how the family work today - they will help them keep learning, improving, and building better systems together.
