Overview

A private multi-generational family with a main residence in Hillsborough and another in SF is seeking an estate manager to join their fully staffed team.  While the schedule is Monday through Friday, on-site in Hillsborough from 9am-5pm, with flexibility. You may need to travel to other properties throughout CA and abroad.  The position starts as a temporary six-month role, with the potential to become permanent.  This role is hiring immediately.  This is a live-out position, so you should live locally in the SF/Bay Area.  The family is only seeking local candidates at this point in time.

Responsibilities

  • Serve as the operational backbone with full oversight of the household, operations, and vendor relationships
  • Direct personal support to the principal and family
  • Polished, discreet, and exceptionally organized
  • Consistent standard of care for every task, large or small
  • Must thrive in a fast-paced, detail-driven environment
  • Move easily between high-level strategic coordination and hands-on problem-solving
  • Oversee daily operations across the Hillsborough primary residence, and at times, other properties as needed
  • Manage and coordinate household staff, contractors, and vendors, including housekeeping, culinary, and maintenance teams
  • Serve as primary liaison for active construction and design projects, tracking timelines and coordinating with contractors and designers
  • Oversee wine cellar, spirits, and humidor inventory management across properties
  • Coordinate seasonal property turnover (Carmel arrivals/departures) and manage parcel/mail handling
  • Manage the principal's calendar, travel logistics, and coordination with his Executive Assistant
  • Handle personal errands, restaurant reservations, event ticketing, and gift sourcing/wrapping
  • Support planning and execution of family dinners, medium-scale gatherings, and large events
  • Assist with pet care coordination and scheduling for family dogs
  • Coordinate with the Accounting team on household budgets, invoicing, and vendor payments
  • Liaise with Security to ensure property protocols are maintained
  • Maintain organized systems for household documentation, service schedules, and staff calendars
  • No job is too big or too small — willing to step in personally whenever needed to ensure seamless household operations

Requirements

  • Legal to work in the US
  • Already living locally or a commutable distance to Hillsborough
  • Clear and Valid driver’s license
  • Reliable transportation to get you to other properties
  • 5+ years of experience as an Estate Manager, House Manager, or Executive/Personal Assistant in a private UHNW household
  • Exceptional discretion, professionalism, and sound judgment
  • Strong project management skills, particularly with construction/renovation coordination
  • Comfortable working across multiple properties and adapting to shifting family schedules
  • Proficiency with household management and scheduling tools (e.g., Control4 familiarity, Google Workspace)
  • Ability to navigate direct feedback and firm direction
