Overview

Private principals based between SoHo, New York City, and Greenwich, Connecticut, are seeking an experienced, highly organized, and proactive Personal Assistant to provide comprehensive travel, lifestyle, event management, and multi-property support. The ideal candidate will be a seasoned career Personal Assistant who is exceptionally detail-oriented, resourceful, and comfortable operating with a high degree of autonomy. The principals are seeking someone interested in a long-term opportunity who can become a trusted and integral part of their daily lives.

A significant portion of this position will focus on sophisticated travel planning and management. Candidates should be well-traveled and experienced with luxury travel, including private aviation, high-end hotels, transportation, and detailed itinerary planning. Additional responsibilities include calendar management, reservations, event planning and execution, household vendor coordination, and general lifestyle support.

The ideal candidate will naturally anticipate needs, take ownership of responsibilities from start to finish, and consistently follow through without requiring reminders. Excellent communication, discretion, flexibility, and the ability to independently manage competing priorities are essential.

The principals maintain residences in SoHo, Greenwich, and Vermont. Candidates should ideally be based in Manhattan and comfortable traveling to Greenwich as needed. Some remote work may be possible when the principals are traveling and there are no in-person responsibilities.


Schedule: Monday–Friday, approximately 9:00 AM–5:00 PM, with flexibility for occasional after-hours needs, events, and time-sensitive requests. Some remote work may be possible when the principals are traveling.

Location: SoHo, New York City / Greenwich, Connecticut, with occasional coordination related to the Vermont residence.

Responsibilities

  • Manage complex domestic and international travel arrangements, including commercial and private aviation, luxury accommodations, ground transportation, and detailed itineraries.
  • Liaise with private aviation brokers, obtain and compare quotes, coordinate bookings, and oversee travel logistics.
  • Research and coordinate luxury hotels, restaurants, experiences, and other travel needs.
  • Manage personal calendars, appointments, dining reservations, and scheduling.
  • Coordinate hard-to-secure reservations utilizing existing concierge resources.
  • Plan and execute private dinner parties and quarterly events from start to finish, including vendor sourcing, catering, staffing, rentals, invitations, and event logistics.
  • Oversee event budgets, timelines, setup, and execution to ensure a seamless guest experience.
  • Coordinate with private chefs, caterers, florists, and other event vendors.
  • Assist with day-to-day oversight of residences in New York City, Greenwich, and Vermont.
  • Coordinate housekeepers, cleaners, contractors, drivers, and household service providers.
  • Adjust household cleaning and staffing schedules around the principals' travel.
  • Prepare residences for arrivals, including coordinating cleaning, groceries, and household supplies.
  • Maintain household inventories and recurring grocery and supply lists.
  • Coordinate property maintenance, seasonal services, and special projects as needed.
  • Organize transportation of personal belongings and household items between residences.
  • Assist with packing and unpacking for travel.
  • Run personal errands and provide general lifestyle support.
  • Coordinate vehicles and occasionally assist with transportation needs.
  • Proactively identify outstanding tasks, communicate progress, and ensure timely completion of all responsibilities.
  • Maintain the highest level of discretion and confidentiality.

Qualifications

  • Minimum of five years of professional Personal Assistant experience in a private household or similarly high-level environment.
  • Extensive experience coordinating complex luxury travel strongly preferred.
  • Familiarity with private aviation, luxury hotels, concierge services, and high-end travel logistics.
  • Experience planning and executing private dinner parties, events, and social gatherings.
  • Strong vendor management and organizational skills.
  • Previous experience supporting multiple residences or assisting with property management preferred.
  • Exceptional attention to detail and ability to manage multiple priorities independently.
  • Proactive, resourceful, and solutions-oriented with excellent follow-through.
  • Strong written and verbal communication skills.
  • Professional, personable, discreet, and adaptable.
  • Comfortable with occasional after-hours requests and schedule flexibility.
  • Tech-savvy and proficient with digital calendars, itineraries, and organizational tools.
  • Comfortable working around animals.
  • Valid driver's license strongly preferred.
  • Must be willing to sign an NDA and additional confidentiality agreements.

Salary and Benefits

Compensation: $150,000–$175,000 annually, depending on experience and qualifications.

Benefits: Two weeks of paid vacation, five paid sick days, and a potential health insurance stipend. Additional benefits to be discussed.
