Overview

A growing family of five based in Greenwich, Connecticut, is seeking an experienced, highly organized, and proactive Personal Assistant to join their household team. This is a dynamic, fast-paced role requiring exceptional discretion, sound judgment, and the ability to anticipate needs before they arise. The assistant will provide comprehensive support to the principals and their household. While some on-site presence is required, the position is primarily remote.

The Personal Assistant will serve as a trusted partner, managing complex personal and family calendars, coordinating domestic and international travel, overseeing household operations, and ensuring the seamless execution of day-to-day logistics. The ideal candidate will bring a solutions-oriented mindset, exceptional attention to detail, and the ability to manage multiple priorities while maintaining the highest level of confidentiality.

Although this position is primarily remote, the successful candidate must reside within a reasonable commuting distance of Greenwich, CT and be available to handle occasional in-person responsibilities, errands, and periodic travel as needed.

The typical schedule is Monday through Friday, 8:00 a.m. to 6:00 p.m., with flexibility to work additional hours when required. Given the nature of supporting a private family, the ideal candidate will embrace a service-oriented, 24/7 mindset and be responsive to time-sensitive needs outside of standard business hours when necessary.

Responsibilities

Responsibilities include, but are not limited to:

  • Support scheduling of personal and family appointments 
  • Organize recurring household matters, including staff schedules, wardrobe and gift tracking, and key medical or personal records 
  • Manage a variety of household staff, including but not limited to housekeepers, tutors, and cooks
  • Build systems to keep information and tasks organized across locations
  • Anticipate needs and proactively resolve issues with discretion and judgment 
  • Introduce tools and practices that improve productivity for both principals and their support network 
  • Manage dynamic calendars for two principals across time zones using Google Workspace 
  • Plan and execute global travel for the principals and their family, including flights, visas, ground transport, accommodations, and itinerary changes on short notice 
  • Liaise with and manage projects that include liaising with designers, contractors, and vendors on property upgrades across several countries, reporting progress and risks
  • Additional duties as assigned, including ad hoc errands
  • Some travel may be required
 

Qualifications

  • Self-starter able to work independently with a high level of ambiguity under minimal supervision. 
  • Creative and resourceful problem solver.
  • Highly organized with excellent time management skills.
  • Thrives in a non-traditional work setting, equally comfortable working from the principals’ home or their places of business
  • Experience across both corporate and private household environments preferred
  • Proven end-to-end project management and ability to prioritize under pressure
  • Discreet, resourceful, and culturally adaptable with a global mindset
  • Comfortable working in both traditional office and private-residence settings

Requirements

  • Minimum 8 years’ Personal Assistant experience supporting senior executives or UHNW principals in a domestic environment
  • High proficiency in Google Workspace, CRM, expense systems; quick adoption of new tech & AI tools
  • Valid driver's license and clean driving record
  • Must have reliable transportation - Mileage will be paid
  • Must live within a reasonable commuting distance to Greenwich, CT
  • Bachelor's degree
  • Ability to speak Spanish would be a plus
  • This role requires prolonged periods of sitting at a desk and working at a computer
  • Light lifting or occasionally lifting 15 pounds 

  • Ability to navigate different spaces, including stairs if applicable

  • Experience working with families who have a global presence
  • Legal to work in the U.S.
  • Comfortable signing an NDA
