Overview

Seeking a superb, highly motivated Major Domo/Assistant House Manager for a stunning, privately owned estate in Tuscany.  The owners are looking for 6* service and standards, and this role will be about ensuring extremely high expectations are met, and that the household operates smoothly and cohesively.  Ultimately, you will be creating a world class private home and experience for all those that visit the estate.  You will be supporting the Property Manager and will provide assistance in all aspects of the successful running of the estate: staff/contractor management, finance, owner/guest service, project management and communications.

 

Responsibilities

You will report to the Property Manager while providing effective leadership to the estate team, but must still have a hands-on approach.  Responsibilities will include (but are not limited to):

  • Ensuring the smooth running of the household and servicing of principals and guests
  • Supervising the Household Staff who service the various locations and buildings on the estate, including recruitment, training, payroll management, performance reviews and schedules
  • Managing the estate including household staff, family and guests, contractors, visiting schedules, budgets, and payments
  • Engaging and overseeing outside contractors, service providers, and suppliers
  • Development and maintenance of Service Operating Procedures, policies, and household manuals, for the effective running of the buildings on the estate
  • Financial management, budget administration, and purchasing for the estate, as well as financial administration for the household
  • Planning and scheduling the regular and routine maintenance and repairs of the property on the estate, as well as overseeing household projects as required
  • Oversee security and communication systems for the property
  • Regular interaction with principals to maintain direct communication and compliance with their needs
  • Organisation of guest itineraries, including transport arrangements, booking restaurants and activities and managing schedules, arrivals and departures
  • Ensuring world class service of meals and refreshments for family and guests
  • Regulatory compliance of house (insurance, health and safety etc)
  • Maintenance of vehicles, wine cellar, household supplies, furnishings and tableware, and other household/estate items
  • Overseeing, managing and developing vineyard and olive production
  • Working alongside a Project Manager on a variety of existing and future projects, including developing staff housing
  • Development and maintenance of Estate's online presence, general communications and marketing

Requirements

  • Exceptional organisational skills
  • Dynamic, self-motivated and proactive approach for project and team management
  • Strong time management and organisational abilities along with budget management skills and proficiency
  • Exceptional written and verbal communication, and analytical skills
  • Ability to lead, motivate, train, and manage a team of diverse skills, knowledge, and experience
  • A ‘hands on attitude’ and a readiness to get physically involved and get things done
  • The ability to build strong, professional relationships with both family members, external visitors, stakeholders and staff
  • High computer literacy with ability to use various software applications for budgeting and reporting and internal booking systems
  • Strong project management skills
  • Fantastic knowledge and understanding of service, able to serve the principals principals and guests when they are in residence
  • Highly proficient in Italian and English
  • Proven experience as a Major-domo/senior butler/house manager or similar role in a similar environment
  • Demonstrable experience of strong leadership and management skills, with the ability to effectively supervise, motivate staff and lead by example
  • Excellent organisational and time-management skills, with the ability to manage multiple tasks and responsibilities
  • Knowledge of household systems and maintenance, including basic plumbing, and security systems
  • Experience of financial management, including the development and maintenance of budgets and the review of financial reports
  • Experience of working with trust and discretion and of maintaining confidentiality

Salary and Benefits

  • €75,000-€85,000 gross pa
  • Accommodation, food (while on site) provided, bills covered
