Overview
A warm, professional family based in Manhattan with a newly purchased home in White Plains is seeking an experienced Personal, Family, and Household Assistant to provide approximately 20 guaranteed hours per week of support. This is a unique hybrid position that combines remote administrative work for the family as a whole with hands-on household management in both Manhattan and White Plains.
The ideal candidate is highly organized, proactive, technologically savvy, and enjoys taking ownership of projects. The family is looking for someone who can anticipate needs, solve problems independently, and help simplify the day-to-day logistics of a busy household. The family currently employs a full-time nanny and plans to hire a part-time housekeeper for the White Plains residence in the future.
The position will primarily focus on family administration, vendor coordination, household projects, errands, scheduling, and supporting the family's eventual transition into their new White Plains home in 1-2 years. There will likely be renovation projects in the future, though plans are not yet finalized. The family values professionalism, maturity, excellent judgment, discretion, warmth, and someone who naturally takes initiative without requiring significant oversight.
The family would especially appreciate someone who enjoys helping create structure, proactively identifies ways to improve household operations, communicates openly, and is happy to take genuine ownership of their responsibilities. They are seeking a collaborative partner rather than someone who simply waits for direction.
Start Date: As soon as possible
Schedule: Approximately 20 guaranteed hours per week with flexibility. The role will likely include approximately 1 hour of remote work on the days they are not working their full days, along with two larger work blocks each week. Exact scheduling will be determined collaboratively and may evolve based on household needs. The role is a mix of remote computer work, running errands, and as-needed at either their Manhattan or White Plains home.
Schedule Expectations:
The family is flexible regarding how hours are structured and values outcomes over rigid scheduling. They envision:
General responsiveness, typically within 1–2 hours, during the workweek to provide a timeline on the task
Two larger in-person work blocks of 8.5 hours each week (or one large block and two medium blocks)
A one hour block of remote administrative work for the remaining days of the week
Approximately half of the role completed remotely and half completed in person
Flexibility to adjust in-person versus remote hours based on moving, renovation, and household project needs
No Friday evening or Saturday work due to Shabbat observance
Responsibilities
Manage family calendars, appointments, and scheduling
Coordinate vendors, contractors, deliveries, and home service appointments
Oversee projects at the White Plains residence, including future renovation projects as needed
Complete regular property walkthroughs and maintenance checklists
Assist new homeowners with home maintenance tracking, inventory management, and identifying recurring maintenance needs
Coordinate and help hire service providers, including future housekeeping support for the White Plains home
Receive deliveries and organize household purchases
Coordinate returns and exchanges
Book travel arrangements and assist with travel logistics
Assist with insurance, medical, and household administrative tasks
Pay household utilities and manage routine household accounts
Order household supplies and maintain inventories
Run family errands as needed
Prepare the White Plains home for family arrivals, including grocery shopping, inventory checks, and general readiness
Coordinate with the nanny, housekeeper, contractors, and outside vendors
Track expenses, maintain receipts, and organize records for household auditing purposes
Possibility of occasional pet care for the family's friendly cat, including feeding during trips out of town
On slower weeks, assist with light meal preparation. Though this is not required, it would be a major bonus for the family
The family maintains a Kosher home and observes Shabbat. Occasional Shabbat preparation assistance may be appreciated. The family is happy to provide guidance regarding protocols.
Occasional emergency backup support may be helpful if childcare coverage is unexpectedly needed, such as transportation or supervision assistance. Extensive childcare experience is not required, and candidates will not be disqualified if they are unable to provide childcare support.
Qualifications
5+ years of experience as a Family Assistant, Household Manager, Personal Assistant, or similar role in a private household or a mix of private household and a corporate setting
Exceptional organizational and project management skills
Strong technology skills and comfort managing digital calendars, scheduling platforms, and online ordering
Excellent written and verbal communication skills
Highly proactive with strong problem-solving abilities
Mature, professional, and discreet
Self-starter who requires minimal supervision
Strong follow-through and accountability
Comfortable managing multiple ongoing projects simultaneously
Excellent interpersonal skills and ability to build positive working relationships with both principals
Flexible and adaptable as household needs evolve
Comfortable working independently between multiple properties
Strong communication skills and willingness to provide regular updates on workload, priorities, and project status
Spanish-speaking ability is a plus, as the family's nanny speaks Spanish with the child and both parents have conversational Spanish skills
Requirements
Valid driver's license required
Personal vehicle strongly preferred; however, exceptional candidates without a vehicle may still be considered
Comfortable commuting between Manhattan and White Plains
Legally authorized to work in the U.S. as a W-2 employee
Strong English communication skills
Non-smoker preferred
Comfortable working in a Kosher household and respecting Shabbat observances
Salary and Benefits
$52,000-$62,400($50–$60/hr DOE)
