Overview

A prominent UHNW family is seeking a highly sophisticated, tech-savvy, and legally compliant bilingual House Manager (English and Chinese - Mandarin/Cantonese) to oversee the daily operations, financial administration, and staff management of their premium estate in the United Kingdom. The ideal candidate will act as the master bridge between the Chinese-speaking Principals and a multi-cultural domestic team, UK corporate vendors, and local authorities. This role demands a modern and experienced leader who brings familiarity and a thorough understanding of digital-first operations, structured Standard Operating Procedures (SOPs), and bulletproof compliance frameworks.

Responsibilities

  • HMRC & UK Labor Law Compliance: Oversee all domestic payroll, National Insurance (NI) contributions, and tax filings. Ensure 100% compliance with UK Employment Law, including the immediate drafting, tracking, and execution of legally binding employment contracts and Non-Disclosure Agreements (NDAs) for all current and incoming staff.
  • Utility & Vendor Auditing: Take full accountability for estate bills, supplier contracts, and council taxes.  Implement a mandatory, monthly manual/smart meter-reading protocol for electricity, gas, and water to completely eliminate estimated billing errors and financial discrepancies.
  • Cost Optimisation: Audit all current household operational expenditures, review service level agreements (SLAs), and protect the family from unnecessary financial penalties or back-taxes.
  • 24/7 Operational Coverage: Restructure the existing housekeeping, nanny, and culinary teams into a seamless, modern Two-Week Rota Cover System. Eradicate "service blind spots" by ensuring adequate out-of-hours, evening (post-5:00 PM), and Sunday coverage for a bustling family with 4 active children.
  • Break down internal silos and communication barriers within the 10+ staff members. Establish clear organisational hierarchies, and clear-cut daily duties.
  • Transparent Communication: Introduce centralised, shared digital calendars and scheduling tools so all staff members have real-time visibility into shift rotations, annual leaves, and daily estate agendas. Hold concise daily briefing sessions with department heads (Chefs, Nannies, Head Housekeeper).
  • Digital Inventory Systems: Implement and maintain asset-tracking applications (e.g., Sortly App or equivalent luxury inventory templates) to catalogue high-end wardrobe items, fine arts, wine cellars, and domestic supplies.
  • Automated Procurement: Transition the estate from reactive buying to proactive, automated replenishment for household goods, pet supplies, and automotive maintenance (3 luxury vehicles).
  • Visual Executive Dashboards: Acknowledge the Principals' unique language profiles by translating complex UK legal, financial, and administrative data into highly visual, intuitive, and concise Bilingual (English/Chinese) Dashboards. Use color-coded metrics (Red/Yellow/Green) for rapid executive decisionmaking.
  • Daily Concierge Support: Act as the primary, trusted point of contact for the Principals, handling high standard lifestyle requests with extreme discretion, emotional intelligence, and absolute confidentiality.

Requirements

  • Language Proficiency: Absolute native-level or fully bilingual fluency in English and Chinese (Mandarin and/or Cantonese), both written and spoken. Ability to communicate complex UK administrative and legal
    matters in simple, respectful Chinese.
  • Experience: Minimum 5–8 years of proven experience running fully-staffed UHNW estates or boutique luxury hotels within the United Kingdom. Experience managing a multi-child (school-aged) household is highly advantageous.
  • Legal Expertise: Solid, practical understanding of UK Employment Law, HMRC regulations for domestic staff, health & safety compliance, and UK utility management.
  • Tech Savviness: Expert proficiency in modern property management software, collaborative digital tools (Google Workspace, shared rota platforms), and inventory management applications.
  • Leadership Style: Assertive yet empathetic. Proven ability to unite fragmented teams, resolve deep-seated workplace conflicts, and command authority while maintaining a service-oriented mindset.
