Overview

A private family is seeking an Assistant Property Manager to join their team. This is an excellent opportunity to become part of a warm, supportive family office that truly values its staff. You will work alongside an exceptional Chief of Residences and House Manager in a collaborative, team-oriented environment.

 

This is an on-site position that requires splitting your time between the family's estate in Westchester and their residence in New York City. The family also owns homes in other locations, and while travel to these properties is infrequent, occasional travel is required. As such, candidates should be flexible and willing to travel as needed.

Responsibilities

  • Candidates will oversee the daily operations, maintenance, and management of the properties. 
  • Ensure that all systems (HVAC, plumbing, electrical, etc.) are functioning properly and coordinate repairs as necessary
  • Manage contractors and service providers, ensuring that work is completed to the highest standards
  • Maintain an inventory of household supplies and manage procurement
  • Overseeing renovations and home projects 
  • Respond to emergencies and unexpected situations with calm and effective solutions
  • Occasional travel to other properties to open/close the home seasonally, and work collaboratively with the existing manager of that property
  • Approve and process invoices, ensuring timely payment of vendors and contractors, in conjunction with a family office 

Qualifications

  • Minimum 5+ years of experience as an Estate Manager, Household Manager, or similar role 
  • Strong leadership, organizational, and communication skills (written and verbal) 
  • Proven ability to implement systems and manage complex operations 
  • Deep understanding of property maintenance, landscaping, and luxury service standards 
  • Experience with vendor sourcing, negotiation, and management 
  • Technologically proficient with the ability to oversee smart home systems 
  • Highly detail-oriented, intuitive, and proactive 
  • Excellent interpersonal skills with a service-oriented mindset 
  • Collaborative team player who can also work autonomously
  • Demonstrates discretion, confidentiality, and professionalism at all times 

Requirements

  • Valid driver’s license with a clean driving record 
  • Ability to travel as needed 
  • Flexibility with the schedule required
  • Must be based within a reasonable commuting distance to both residences
  • Willingness to undergo a background check 
  • Must sign a Non-Disclosure Agreement (NDA) 
  • Legal to work in the U.S.
