Overview

A UHNW client is seeking an exceptional House Manager/Personal Assistant to support their family based in New York City. This role blends high-level personal support with hands-on household operations, ensuring the home and the principals’ lives run seamlessly—think 5-star hotel meets precision lifestyle management. You will work closely with the principals, Chief of Staff, household staff (housekeepers, nannies), and external vendors. This is a highly trusted, detail-driven role requiring discretion, flexibility, and a proactive mindset. The PA/House Manager serves as both an operational lead at the residence and a strategic personal support partner to the principals. The position is primarily NYC-based (Gramercy Park), with regular in-person presence at the residence and occasional travel to other family properties and potential domestic/international destinations with advance notice. Must be a PA/HM who thinks on their feet, can handle a heavy workload, doesn't need hand-holding, can be autonomous while not being brash and being mindful with choices made; high emotional intelligence and full ownership of this role is needed. This role is ideal for someone who thrives in a high-touch, fast-moving environment, loves anticipating needs before they arise, and takes pride in creating calm, order, and luxury behind the scenes. The role starts mid-August or September. They are seeking a local candidate, not relocating a candidate or a candidate relocating for this role.

 

Working Style & Expectations
• Highly flexible schedule that follows the family’s needs and movements
• Average workweek of 40+ hours, with evening, weekend, and holiday availability required for pressing matters

Responsibilities

Personal & Executive Support
• Comprehensive calendar management, including appointments, reservations, and scheduling across multiple time zones
• In-depth research and planning for travel, dining, entertainment, events, services, and lifestyle needs
• Booking and managing domestic and international travel (commercial and private), including advance arrival, packing/unpacking, and preparing accommodations
• Optimizing airline miles, credit card points, and loyalty programs
• Event planning support (private dinners, parties, guest stays)
• Online purchasing, returns, and delivery coordination
• Proactively identifying and suggesting activities for the principals and children in NYC and while traveling
• Troubleshooting urgent issues via phone, text, or email, including evenings and weekends


Household & Property Management
• Day-to-day management of household staff (housekeepers, nannies) and coordination with vendors
• Setting up, maintaining, and enforcing household systems, protocols, checklists, and standards
• Acting as primary on-site liaison for repairs, installations, deliveries, and service
providers
• Preparing the home for daily living, guests, and events—ensuring everything is polished and running smoothly
• Managing household inventory, supplies, and logistics
• Maintaining organized household files, records, and documentation
• Running errands and managing family vehicles
• Supporting smart home systems, A/V, and general tech troubleshooting

Requirements

Required Skills & Experience
• 5 years of experience as a Personal Assistant, House Manager, Estate Manager, or similar role within a UHNW or HNW household
• Strong background in hospitality, luxury service, or private household management preferred
• Exceptional organization, attention to detail, and follow-through
• Excellent written and verbal communication skills
• Highly tech-savvy (MacOS, iOS, Google Workspace, smart home systems, consumer electronics)
• Comfort with light manual labor (lifting, moving heavy items)
• Naturally proactive with strong intuition and problem-solving skills
• Calm and effective under pressure with shifting priorities
• Demonstrates impeccable discretion and respect for privacy
• Service-oriented, energetic, and professional demeanor at all times
• Comfortable researching multiple options and clearly presenting recommendations

• Competitive base salary (commensurate with experience) which will start at $150k+
