In search of a Head of Personal Assistants who will oversee a team of 6–7 PAs supporting a high-profile family with significant international business interests. This role is based in New Jersey and requires a hands-on leader who can guide daily operations, ensure seamless support for the principals, and maintain exceptional service standards. The position involves managing complex schedules, coordinating across a large household team, and responding swiftly to shifting priorities in a fast-paced environment. Some travel and availability outside standard business hours may be required.
Lead, mentor, and supervise a team of high-performing Personal Assistants.
Delegate tasks efficiently, monitor workload balance, and ensure deadlines are consistently met.
Build a collaborative, supportive team culture rooted in professionalism, discretion, and attention to detail.
Act as the primary escalation point for the PA team, offering guidance and resolving issues promptly.
Coordinate closely with a domestic team of 15–20 staff to maintain smooth household operations.
Serve as a strategic partner and trusted point of contact for the family, ensuring real-time awareness of day-to-day needs and priorities.
Identify gaps, anticipate challenges, and proactively introduce solutions to maintain a high standard of service.
Oversee intricate international and domestic schedules, including business commitments, personal appointments, and private travel.
Ensure alignment across the PA team, adapting swiftly to last-minute updates and changes.
Manage logistics for principals and staff to guarantee punctual, precise, and seamless execution.
Lead planning and delivery of sophisticated personal events, ensuring every detail reflects the principals’ preferences and lifestyle.
Manage relationships with global vendors, venues, and service providers to secure exceptional results.
Maintain confidentiality and act with impeccable judgment in all interactions.
Prior experience supporting UHNW families or working in demanding, highly confidential environments.
Strong background leading support teams, including training, performance management, and workflow development.
Exceptional organizational instincts with a proactive, solutions-oriented approach.
Fluent in both English and Russian.
Experience coordinating large-scale events, managing complex travel logistics, and overseeing multi-layered schedules.
Comfortable operating at the intersection of personal and corporate spheres, with the ability to balance both gracefully.
Adept at building trust with principals and serving as an advisor on team structure, vendor partnerships, and operational improvements.
Based in New Jersey or willing to relocate.
Authorization to work in the United States.
