Overview

A private Dallas-based family is seeking a highly organized, proactive, and service-oriented executive and Household support coordinator to provide comprehensive administrative, personal, and household support. The ideal candidate is polished, discreet, and highly capable in a dynamic, fast-paced environment with shifting needs. This role supports both personal and household operations and requires excellent judgment, attention to detail, and the ability to anticipate needs before they arise.

 

This is a full-time position that requires occasional weekend availability - typically twice per month - to provide house and pet-sitting support when the principals are traveling. The schedule will be task-dependent; at times the candidate must be onsite and available in person, while at other times work may be completed remotely.

Responsibilities

Key Responsibilities:

 

Executive & Personal Support

  • Manage and coordinate complex professional and personal calendars, appointments, travel itineraries, and reservations.
  • Serve as the primary point of contact for family communications, vendors, service providers, and select business associates.
  • Assist with personal errands, gift sourcing, reservations, and various day-to-day household needs.
  • Uphold strict confidentiality, strong professional boundaries, and discretion in all interactions.
  • Prepare and organize correspondence, records, and digital files for easy access and accuracy.

Household Coordination

  • Oversee household scheduling, maintenance needs, repairs, and service appointments with vendors and contractors.
  • Provide on-site oversight for vendors to ensure timelines, quality, and expectations are met.
  • Manage household inventory, organization systems, supply restocking, and seasonal organization projects.
  • Prepare simple floral arrangements for events and household décor.
  • Support household readiness by ensuring common areas and guest spaces are maintained and prepared.

Event & Hospitality Support

  • Assist with planning and coordinating intimate dinners, gatherings, and small-scale events hosted by the family.
  • Coordinate menus, décor, vendor communication, and day-of event logistics.
  • Design and create flower arrangements.
  • Support set-up, hosting, and reset of event spaces, ensuring seamless service.

Financial & Administrative Management

  • Track, reconcile, and organize household and personal expenses, invoices, and receipts.
  • Maintain budgets, spreadsheets, administrative documents, and monthly expense reporting.
  • Ensure timely payment and strong relationships with vendors and service providers.

Pet Care & Lifestyle Support

  • Provide occasional weekend support, including walking and caring for the family’s dog (Corgi).
  • Assist with travel preparation, luggage management, and household transitions before and after trips.

Qualifications

  • 8+ years supporting senior executives, principals, or high-net-worth families in a personal or executive assistant capacity.
  • Strong communication skills with the ability to represent the family with courtesy and professionalism.
  • High level of discretion, emotional intelligence, and reliability.
  • Strong organizational skills with proven ability to manage multiple priorities.
  • Experience booking and managing luxury travel, including last-minute changes.
  • Proficient in Microsoft Office (Outlook, Excel, Word), Google Workspace, and modern administrative tools.
  • Valid driver’s license and personal vehicle required.
  • Bachelor’s degree preferred but not required.

Requirements

 

  • Ability to lift and carry items up to 50 lbs (e.g., deliveries, décor items, luggage).
  • Ability to stand, walk, climb stairs, and move throughout the home for extended periods.
  • Ability to bend, reach, and assist with household organization tasks and event setup.
  • Comfortable moving light furniture, adjusting décor, setting tables, and resetting spaces.
  • Ability to load and unload items from a vehicle, including groceries, packages, and event supplies.
  • Comfortable walking or handling small/medium-sized pets, including assisting during vet or grooming visits.
  • Ability to respond quickly to urgent household issues (alarms, leaks, emergencies) and access storage or utility areas.

Salary and Benefits
