Overview

A loving family living in Houston, TX is seeking a personal assistant to help keep their life running smoothly!  The schedule will be Monday through Friday, 40 hours per week.  There is an opportunity for this to be a hybrid of on-property and remote work.  The family is seeking a candidate who seeks longevity and is ready to hire upon finding the right fit.  

Responsibilities

  • Manage three email inboxes: flag messages requiring response, categorize by theme, and summarize key updates each morning.
  • Maintain shared calendars: add deadlines and events, update with details, send reminders, and track household logistics.
  • Maintain a home maintenance calendar: schedule services (HVAC, pest control, gutters, generator, filters) and track renewals.
  • Manage vehicle maintenance: inspections, oil changes, tire rotations, and registration renewals.
  • Coordinate family appointments with doctors, dentists, orthodontists, and vets
  • Maintain medical and insurance info.
  • Track recurring household orders or memberships (Costco, utilities, Amazon Subscribe & Save).
  • Monitor pantry inventory and submit Instacart orders or grocery pickups as needed.
  • Assist with child transportation when parents' or children's schedules conflict.
  • Maintain master renovation tracker: organize contracts, bids, invoices, and permits.
  • Track builder/designer/architect communications and project progress.
  • Maintain master timeline and schedule site meetings, walkthroughs, and payments.
  • Track deliveries, installations, and change orders.
  • Maintain master to-do list segmented by category (home, kids, renovation, HAWC, errands).
  • Provide weekly check-ins summarizing pending approvals, deadlines, and upcoming events.
  • Maintain digital filing systems (finance, legal, medical, travel, renovation, family).
  • Quarterback children’s birthday parties, parent coffees, and small gatherings: coordinate vendors, deliveries, and setup.
  • Track all event-related tasks and maintain an RSVP tracker for social and school events.
  • Help plan seasonal gatherings (holidays, charity lunches, family get-togethers).
  • Manage school coordination: add events, breaks, and conferences; track camp and extracurricular registration deadlines.
  • Oversee extracurriculars: manage practices, games, uniforms, and carpools.
  • Maintain pet schedule: track vet visits, grooming, vaccinations, and boarding.
  • Keep a family medical tracking log (vaccinations, specialists, prescriptions).
  • Manage board and philanthropy commitments: track meeting invites, prepare materials, and follow up.
  • Flag donor or partner communications and add to the calendar.
  • Maintain contact lists for board members, vendors, and contractors.
  • Maintain family travel itineraries (flights, hotels, dog boarding, car rentals).
  • Prepare pre-trip and return checklists (packing, cleaning, fridge check).
  • Maintain travel calendar showing where each family member is.
  • Handle restaurant and activity reservations during travel or special dates.
  • Keep seasonal packing lists (summer, ski, Nantucket, etc.).
  • Track birthdays, anniversaries, and holidays.
  • Maintain a gift log and coordinate ordering, wrapping, and shipping.
  • Draft thank-you notes and manage holiday card lists.
  • Collect receipts and prepare monthly summaries for accountant or family office.
  • Audit and manage subscriptions or memberships (streaming, magazines, etc.).
  • Track license, passport, and registration renewals.
  • Digitize and file receipts, warranties, and contracts for easy access.
  • Provide weekly summary briefing (key tasks, appointments, priorities).
  • Reminders for personal and family milestones (anniversaries, birthdays, checkups).
  • Maintain a Someday/Ideas List for long-term plans or wish-list projects.

Requirements

  • Must be legal to work in the US
  • Prior experience as a personal assistant
  • Travel experience is a plus
