Overview

A busy entrepreneurial woman in Brooklyn, NY, with additional residences in the Midwest and West Coast, is seeking a superlative Estate Manager to streamline and elevate her lifestyle. She has a wonderful team in place, including a top-notch executive assistant. The Estate Manager acts as the chief point of contact for all properties related to or owned by the principal. The Estate Manager will provide oversight over general upkeep, safety, maintenance, and management of all residences and oversee all property systems and staff accordingly. The Estate Manager will act as the project manager for all property projects, providing clarity, exploring workable solutions to facilitate decision-making on behalf of the principal, and seeing all tasks and activities through to completion. The ideal candidate will be a team player who can hit the ground running and function at a high level, providing leadership by example in a kind and thoughtful manner. Responsibilities

Include, but are not limited to:

 

Property Maintenance 

  • Ensure that all properties and property assets, inclusive of potential future acquisitions, are of the highest functionality, efficiency, and up to date with current systems and procedures at all times. Create and consistently update property manuals that document property systems and procedures.  
  • Oversee and manage all property staff and vendors, including housekeepers, wardrobe services, landscapers, and tradesmen, by managing work schedules and streamlining workflows.  
  • Oversee and manage all property-related external vendors, including, but not limited to dry cleaners and parcel delivery services, by creating streamlined processes.  
  • Conduct bi-annual inspections of all properties. Schedule all regular maintenance and seasonal services, including winterizing services, that ensure the uninterrupted functionality of all residents’ critical components. Ensure all required maintenance is completed in a timely fashion with minimal impact to principal and/or guests.
    • Quarterly inspections of the New York (NY) property to include all service personnel, security, and maintenance. 
    • Full bi-annual inspections and service to the California (CA) and Missouri (MI) properties.  
    • Provide a status report of ALL inspections to the principal and key team members. 
  • Supervise and support all exterior grounds activities, including snow removal, landscaping, grounds keeping, driveway maintenance, and other exterior areas as needed.  
  • Ensure that all routine vehicle maintenance is completed and assist with emergency incidents (ex: AAA and dealership liaison.)
  • Oversee Security Team(s), addressing any incidents related to the security aspects of all properties.
  • Create, manage, and facilitate property logins, keys, and security access for principals, team, guests, and/or vendors visiting any of the properties.

Property Liaison  

  • Coordinate with team to facilitate seamless principal transition between residences or external properties (ex: vacation rentals, hotels, etc). Ensure all necessary items are stocked at properties before arrival.
  • Coordinate the movement of guests between properties and inform principal, team, and necessary staff members of guests’ movements, as needed. 

Property Projects

  • Oversee and manage all property-related projects at the direction of the principal, including but not limited to renovations and interior design projects, as well as miscellaneous ad hoc tasks.  
  • Establish clear workflow and budget expectations/estimates for lengthy construction projects and provide periodic status reports, full project accounting, and descriptions of work.
  • Oversee and manage all special events that take place at any of the properties.

Other 

  • Allocate credit cards for the principal’s personal accounts.
  • Ad Hoc requests
  • Coordinate with principal, team, and vendor to manage and oversee all gifting, including but not limited to monthly birthday lists, once-off thank yous, and annual holiday gifting.

Requirements

  • 7+ years proven experience as an Estate Manager in a high-net-worth environment
  • Ability to travel to other properties as needed
  • Must operate with discretion, confidentiality at all times
  • Flexible with the schedule 
  • Vendor negotiation and client advocate experience
  • Familiarity with Nines or other estate management software
  • Ability to implement protocols and procedures
  • Valid Driver’s license and clean driving record preferred
  • Must be willing to sign an NDA and agree to a background check

Salary and Benefits

The family is offering a salary of $175k+ commensurate with experience, and a benefits package
