Overview

Seeking a highly capable, detail-oriented Personal Assistant and House Manager to provide exceptional support to two active, high-performing executives and their families in Houston. This role involves managing the day-to-day operations of five properties and supporting the logistical and personal needs of families with seven children total. The ideal candidate is analytical, emotionally intelligent, and thrives on solving complex logistical challenges with minimal oversight. This role demands a highly responsive, trustworthy individual who can pro-actively anticipate the needs of the executives, providing solutions before being asked.

Responsibilities

RESPONSIBILITIES

  • Calendar and Schedule Management

    • Pro-actively manage and maintain a comprehensive scheduling system that integrates all commitments for the executives, their partners, and the children (including professional, personal, and extracurricular commitments).

  • Household and Property Management (5 properties)

    • Serve as primary point of contact for all household needs and issues.

    • Pro-actively monitor and manage all five homes to ensure everything is in optimal working condition, addressing any issues (e.g., broken appliances, HVAC malfunctions, plumbing issues, smart home system failures, etc.) independently without involving executives.

    • Source, schedule, manage, and supervise all service providers to ensure issues are resolved quickly and effectively.

    • Manage a wide range of existing home service providers, including landscapers, pool maintenance, housekeeper, and personal chef. This includes scheduling, managing communications, and handling payments.

    • Oversee all family vehicle logistics, including maintenance, repairs, inspections, registration renewals and insurance.

    • Manage household inventories and supplies, ensuring that all homes are well-stocked.

    • Sort through mail and packages and handle returns when needed.

  • Family and Child Support

    • Handle all communications with coaches, instructors, and organizers for the children’s extracurricular activities, including scheduling and managing logistics (e.g., uniforms, equipment, fees, etc.). Act as the primary point of contact for all extracurricular-related inquiries, ensuring timely responses, coordinating schedules, and resolving any conflicts or issues.

    • Coordinate and schedule all medical appointments for the children, including routine check-ups, dental/orthodontist visits, specialist consultations, and follow-ups.

    • Coordinate all pet care, including veterinary appointments and regular grooming.

    • Drive children as needed to and from extracurricular activities.

  • Personalized Travel Planning and Assistance

    • End-to-end travel planning for each family, including domestic and international travel. This includes in-depth research, booking, and management of all travel logistics and coordinating with travel agents..

    • Conduct in-depth research and comparison of destinations, hotels, and accommodations. Develop and present detailed, day-by-day itineraries that include all confirmed bookings, addresses, contact information, and special notes. Itineraries to also include curated recommendations for activities, restaurants and logistics.

    • Manage all bookings and reservations, including flights, private charters, hotels, dining, and ground transportation.

    • Anticipate and manage potential disruptions or last-minute itinerary changes.

  • Executive and Personal Support

    • Handle all personal errands, reservations, and special requests.

    • Handle certain personal banking matters and ensure timely payment of bills and other obligations as requested by executives.

Qualifications

  • Exceptional organizational and communication skills (written, verbal, and interpersonal).

  • Trustworthy, professional, and loyal.

  • A positive, adaptable personality with a passion for supporting dynamic, high-achieving families in a fast-paced environment; ability to remain calm under pressure and adapt to changing priorities.

  • Highly resourceful, proactive, able to anticipate the needs of the family, and able to operate independently.

  • Proficiency with technology, including calendar management tools (e.g., Google Calendar, iCal, etc.), smart home systems, and travel booking platforms.

  • Unwavering commitment to maintaining the highest standards of confidentiality and discretion in all matters.

Requirements

  • Minimum of 5 years as a personal assistant or private concierge for high net worth family or high end hotel

  • Demonstrated experience with logistical planning, communication with vendors, and schedule coordination.

  • Valid Drivers license 

Salary and Benefits

  • Compensation does depend on experience and starts around $130k and goes up for the right fit
