Overview

A family of four living in the San Francisco area is seeking a family assistant to join their fully staffed team.  The schedule is Monday through Friday, 8am-6pm on site, in the office. Flexibility required for occasional weekend work related to family travel or events.  This is a vital role collaborating closely with the childcare team, personal services team, and household staff to ensure seamless operations.  Someone who is proactive, organized with an attention to detail will be highly successful.  The family is not looking to relocate, so the candidate should already be living locally or a commutable distance to SF/Bay Area.  The role is hiring immediately.  

Responsibilities

  • Regularly required to talk, hear, and communicate effectively with the household and team.
  • Collaborate with the head nanny to align and implement weekly schedules.
  • Schedule and coordinate children's appointments, activities, and playdates.
  • Plan and organize children's parties, special events, and celebrations.
  • Assist in preparing for children's travel, including packing clothing, supplies, and age-appropriate materials.
  • Manage seasonal wardrobe organization by rotating clothing by size and season.
  • Maintain and update children's medical records, immunization schedules, and school documentation.
  • Coordinate extracurricular activities (e.g., sports, lessons, clubs) by handling registrations, supplies, and transportation arrangements.
  • Manage reviews of children's school, doctor, and email communications, ensuring updates to relevant stakeholders.
  • Provide backup support for other staff, including the Personal Assistant, during absences or vacations.
  • Track and manage household inventory, including pantry supplies, medicine, emergency items, and clothing, in collaboration with the Household Manager and Estate Manager.
  • Oversee off-site inventory and coordinate retrieval or updates as needed.
  • Lead packing and inventory projects to ensure readiness for travel, emergencies, and seasonal transitions.
  • Maintain organized household systems to streamline day-to-day family operations.
  • Ensure the order and process of children and household items.
  • Run errands.
  • Create, manage, and optimize weekly schedules for children and household activities.
  • Participate in weekly meetings with the nannies, client, and personal services team, ensuring timely execution of assigned projects and tasks.
  • Act as the liaison between the childcare team and household management.
  • Develop and manage checklists for recurring needs, travel preparation, and event planning.
  • Oversee the creation of tasks based on client requests within designated Slack channels, and ensure their timely completion.
  • Research and recommend venues, vendors, and entertainment for children's parties and family events.
  • Organize family gifting needs for holidays, birthdays, and special occasions like teacher appreciation.
  • Coordinate special projects such as seasonal home organization, charity drives, or playroom updates.
  • Anticipate upcoming events (e.g., holidays, school breaks, birthdays) and proactively prepare to ensure smooth execution.

Requirements

  • Up to date on vaccinations, including COVID-19, with proof provided before to hire.
  • Tech-savvy: Familiarity with Apple products, Google platforms, Asana, 1Password, and Expensify.
  • Ability to work independently while maintaining collaboration with the team.
  • Flexibility to accommodate spontaneous changes in routines or plans.

The family is offering a competitive salary of $140K++. Benefits to include:
