Overview

The Firm is looking for an Executive Assistant to exclusively support the Managing Partner and Founder. Candidates are expected to be able to multitask, work well under pressure, be responsive, and organized with the right blend of professionalism, poise, determination, and execution skills. This role is in the office Monday through Thursday and working from home on Fridays. 

 

Responsibilities

  • Full-time support of the Managing Partner, including management of the inbox, calendar management and scheduling, and taking notes.
  • Book and manage domestic and international travel, including flights, hotels, cars, and events/dinners in other cities.
  • Act as a point of contact among other executives, employees, vendors, investors, and other important relationships.
  • Manage to-dos, pending follow-ups, ensure meeting agendas, and time management to maximize efficiency.
  • Manage non-work, including personal financial relationships (accountant, financial planner), support/coordination for his family, including travel, and ad hoc personal needs.
  • Expense reporting, compliance reporting, and other data and information tracking.
  • Assist the Managing Partner with strategic initiatives, research, and other ad hoc requests.
  • Meeting coordination and event management (smaller events hosted by the Managing Partner).
  • IT management (interface with internal/external IT support) to ensure all technology needs of the Managing Partner are met (Internal and external materials origination, creation, and revision, Service Provider management, prepare business documents, and manage internal communications).

 

Requirements

 

  • Bachelor’s degree from a well-known U.S. college.
  • Minimum 7 years supporting executive working in financial services, asset management, consulting, technology, marketing, or a similar fast-paced environment, and at least 3 years supporting C-Suite executives.
  • Team player: Willing to support the Manager Partner in all aspects of both personal and professional life and the overlap of both worlds.
  • An entrepreneurial mindset and the maturity to work independently and manage complex situations.
  • Understanding of a fast-paced, constantly changing environment with competing priorities alongside the ability to anticipate the needs of the Managing Partner as the situation evolves.
  • Strong execution skills with attention to detail, follow-up, milestone tracking, and organizational skills.
  • Proven and demonstrable analytical capabilities, experience in conducting research, and ability to creatively extract relevant data points from imperfect sets of information.
  • Excellent interpersonal and communication skills: Comfortable speaking with C-Level executives and external clients, able to coordinate the flow of information within the organization and to outside parties.
  • Proactive with a high degree of professionalism and strong work ethic.
  • Strong sense of responsibility, accountability, and integrity.
  • Excellent judgment and discretion are required in handling highly sensitive, privileged, and confidential information respectfully.
  • Proficient in Microsoft Office (Word, PowerPoint, and Excel) with experience using SAAS platforms (CRMs) a plus.
  • Familiarity with the financial sector, particularly private investment markets, is a plus.
