Overview

A professional corporate office in New York City is seeking a highly capable executive service manager to lead its hospitality and service operations with precision, discretion, and excellence. This full-time position operates Monday through Friday from 8am to 6pm, with flexibility for an occasional early morning, evening, or weekend.

This leadership role oversees a 4-person executive service team and manages the day-to-day service and food & beverage operations for a 350-person headquarters and a nearby 100-person satellite office (connected underground, two blocks away). The scope includes supervision of 7 pantries, 16 conference rooms, and coordination of internal events.

The position requires consistent mobility across multiple floors and buildings, strong attention to detail, and the ability to respond swiftly in a fast-paced environment. A successful candidate will possess skills to proactively coordinate logistics, train and develop team members, and ensure service standards are consistently upheld across all touchpoints.

Success in this role demands a high level of professionalism, confidentiality, and a polished service style when supporting the Chairman, CEO, and other senior leaders. The executive service manager is also responsible for reporting on inventory, overseeing storage upkeep, training and staffing, and maintaining a polished and service-driven culture throughout the office.

 

Responsibilities

Overall Responsibilities:

  • Lead formal dining service for the Chairman and CEO in their offices, inside on-site conference rooms, and during VIP external meetings, while actively training and mentoring the team to deliver service at the same executive standard.
  • Manage and direct the Executive Server team in providing consistent pantry and conference room service in a 350-person headquarters and a 100-person satellite office (connected, nearby); personal involvement should be limited to executive-facing service unless otherwise necessary.
  • Ensure that plated and buffet style meals are presented in a clean, organized, polished way; exhibiting high standard for visual presentation.
  • Coordinate and execute formal meal service and preparations, while providing hands-on training and guidance to team members to ensure consistency, efficiency, and adherence to service standards.
  • Demonstrate and instill an understanding of appropriate guest interaction, training team members to recognize when to engage and when to refrain in order to maintain professionalism and avoid interrupting meetings or sensitive conversations, while still anticipating guest needs.
  • Maintain records of VIP food & beverage service and track guest preferences to enhance the guest experience.
  • Run and support a refined, discreet, and service-oriented atmosphere, promoting a team culturethat aligns with executive expectations.
  • Model an upbeat and positive attitude while providing bespoke service to executives and employees.
  • Maintain a flexible mindset and ability to adapt and implement changes to pantries, conference rooms, and F&B offerings.
  • Work with supervisor, Office Services Manager, to establish a creative variety of office events.
  • Oversee regular team inspections of all pantry areas to monitor inventory levels and verify that kitchen equipment is fully operational and maintained according to standards.
  • Willing to go beyond and understand that no task is too small.
  • As needed: clean dishes, load, and empty dishwasher.
  • Must be able to accomplish tasks and fulfill requests in a swift manner with efficiency.

Strong Management Skills

  • Provide hands-on training and leadership to the Executive Server team to ensure elevated service delivery and adherence to company standards. Oversee the team’s daily operations, scheduling, and task delegation across pantries, conference rooms, and executive dining services.
  • Manage coverage and oversee Executive Server schedule, organize coverage as needed which may require temporary workers or personally filling in for the team. If a temporary worker is required for coverage, this role must be able to develop a training plan to ensure no gaps in service are experienced while temp is staffed.
  • Ensure Sunday grocery shopping & stocking is completed by team (fill in if needed).
  • Coordinate service logistics with other departments such as mailroom, cleaning porters, and pantry vendors.
  • Take ownership of the hiring process, including interviewing, selecting, and onboarding new team members

Oversee Budgets

  • Supervise inventory tracking, ordering, and vendor management to ensure pantry and event-related supplies are consistently available. Process invoices and expenses.
  • Track budget for both everyday operations and special events.
  • Perform cost forecasting and comparative analysis on potential new pantry items to ensure budget alignment.

Qualifications

  • Fluency in Mandarin or Spanish 
  • Culinary degree with focus on service 

Requirements

  • Experience in high end hospitality and formal service environments. Hands on leader with proven ability to train and lead a team in an environment focused on high level (and high expectation) hospitality/service.
  • Strong experience with hiring, onboarding, and performance management of direct reports in a similar environment.
  • Flexibility in schedule, including occasional evenings and weekends.
  • Ability to legally work in the US.
  • High School diploma required. Bachelor’s degree preferred.
  • Minimum 7-10 years of experience, applicable restaurant, butler, hospitality, service logistics, and/or event coordination experience (with 3-5 of those years being in management).
  • Excellent organizational skills.
  • Proficient computer skills in Word, Excel, Outlook.
  • Good decision-making skills and the ability to proactively make changes as needed.
  • Interpersonal skills; discreet, tactful, and calm under pressure.
  • Comfortable wearing a uniform
  • Able to lift up to 50lbs.
  • Ability to work under pressure and tight deadlines while remaining flexible.

Salary and Benefits

The base compensation range for this role is $100,000 - $125,000. This role is also eligible for a discretionary annual bonus as well as access to comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits.
