Overview

A young professional couple on the Upper West Side is seeking an experienced and highly skilled personal/family assistant and House Manager to support their growing family's needs. The schedule for this role will be ~40 hours per week, with availability to work approximately one or two weekend days per month, as well as some evenings, and availability for calls and remote work outside of the standard schedule as needed. This is an in-person and remote role, with approximately two in person days, and three remote days, with flexibility to change as needed. This flexibility is key to the role. This is a very hands-on position- candidates should be comfortable with various skill-sets including planning and booking travel, household budgets, calendaring, as well as household duties such as managing vendors, errands, household inventory, event planning and execution, and more. The family is seeking someone who enjoys working with a down-to-earth family and is looking for a long-term role. 

Responsibilities

  • Coordinate and manage personal calendars including meetings, events, appointments.
  • Partner with business EA on coordination of work schedules/travel and personal meetings/events/appointments/travel
  • Establish and foster positive and productive relationships with key personal and professional contacts
  • Arrange all aspects of domestic and international travel, including flights, accommodations, ground transportation, and itineraries
  • Plan and coordinate various events. Manage logistics, guest lists, and other event-related tasks, including in-person support ahead of, at, and immediately after events for on-the-ground needs.
  • Work closely with family on all tasks & requests, in ways that are least disruptive to their work and personal calendars (including before- and after-hours calls as needed).
  • Manage house tasks including management of services, errands, and purchases.
  • Manage personal information trackers including medical records, travel history,  travel memberships, etc.
  • Maintain and adhere to a household budget
  • Establish systems and schedules for household maintenance and vendors, documenting and creating a household manual for future reference 

Qualifications

  • 3-5+ years' experience supporting a family of professionals in a Personal Assistant capacity.
  • "Can do” attitude, problem ownership and creativity in problem solving
  • Adaptable, and able to handle rapidly evolving situations with ease 
  • Exceptional organization skills; ability to juggle multiple, sometimes competing, priorities seamlessly.
  • Outstanding written and oral communication skills with strong attention to detail.
  • Capable of doing physical aspects required of household / other errands (e.g., lifting, carrying, loading car for trips, packing/unpacking, etc.).
  • Ability to anticipate and independently avoid or solve problems.
  • “All in” approach to work with a willingness to stay connected and an expectation of work being done outside of standard business hours -- including late evenings, weekends, and possible overnights on a regular basis, in return for flexible weekday hours as agreed
  • Practical and able to work within and track a reasonable budget, including taking public transportation for work-related travel, etc.
  • Established networks and connections in the NYC area
  • Efficient, clear, and proactive communicator
  • Unwavering professionalism, absolute discretion, and exceptional judgment   

Requirements

  • US work authorization
  • Comfortable in an apartment with children (no pets). 
  • Up to date on vaccinations and willing to get annual flu shots, Covid boosters, and any other standard immunizations required for the family's health (e.g., TDAP if around infants).
  • Long-term candidates only
  • Willing to work ~40 hours per week, including non-traditional hours on a regular basis
  • Able and willing to work on-site at the family's home, and travel in the NYC/Tristate area and beyond. There may be some remote aspect to the role, but the majority will be on-site
  • Vaid driver's license and ability to drive around NYC/Tristate area

Salary and Benefits
