Overview

Seeking a talented Personal Assistant with an interest in property management and a background in hospitality for a lovely principal based in Midtown East. Seeking flexibility and long-term intent. There is room for growth in this role. The schedule is Monday through Friday 8am-4pm with flexibility.

Responsibilities

Responsibilities include, but are not limited to:

  • 20% of role will be seated at reception of principal's office on Madison Ave; responsible for greeting guests, offering tea/coffee (minimal traffic, one visitor a week at this time); and being available to principal for PA support (post office, RX pick up, medical appointments, etc.).
  • 10% of role will be at the NYC Townhouse which is a 10 minute walk from the office, flexibility to visit for deliveries/errands; scheduling dog day care, bi-weekly FreshDirect orders, monthly household supply stock; and coordinating with vendors/contractors for renovations and maintenance
  • 70% of role will be to monitor the Family Office email & phone (respond, take notes, track tasks. Reports to Chief of Staff); categories of contact include a Winery in France, Orange County, NY 150-acre estate, Florida inventory (furniture/wine/art), Colorado ranch, staff needs, miscellaneous friends & family; and supporting Chief of Staff with projects (compiling NY estate handbook, decluttering family items, preparing NJ and FL inventory for digital auction, etc.).

Qualifications

  • French & Spanish bonus of additional languages spoken besides English
  • Flexibility to travel internationally is a strong preference for this role

Requirements

  • 5+ years as Executive/Personal Assistant, House Manager, or similar role with HNW family and private residence experience
  • Strong organization, time management, and ability to think ahead
  • Strong communication skills both verbal and written
  • Maintaining confidentiality & discretion
  • Proficiency in Google Suite & Excel
  • Experience in tracking expenses
  • English required; French & Spanish bonus of additional languages spoken
  • Driver's license (required), own vehicle (strong preference), and comfortable driving to Orange County, NY and Long Island (required)
  • Comfortable working in an environment with children and pets

Salary and Benefits

  • $90-120k based on experience
  • $1,000 monthly health care stipend
  • PTO/Sick Day (15x days paid per calendar year)
  • Paid Federal Holidays
  • Annual 10% bonus
