Overview

Seeking a talented Personal Assistant with a strong project management background and an interest in property management, to support a lovely female CEO based in Midtown East. Seeking flexibility and long-term intent, there is room for growth in this role. The schedule is Monday through Friday 8am-4pm with flexibility. This role is for a candidate with more project management experience, not task-orientated experience–a candidate who utilizes platforms that they like/has experience with, can put a large volume delegating on, tracking, and updating the client with–not notes on the phone.

Responsibilities

Responsibilities include, but are not limited to:

 

Candidate based at the reception of the CEO's office on Madison Ave Mon-Fri, 8am-4pm. Responsible for:

  • 10% of role: Greeting guests, and offering water/tea (minimal traffic at this time)
  • 15% of role: Available to support CEO’s personal needs (post office, RX pick up, medical appointments, family calendar, etc.)
  • 60% of role: Monitor the Family Office email/mail/phone
    Respond, delegate, track tasks with live updates for CEO. Reports to Chief of Staff;
    Categories of contact: private school, philanthropic projects, estate, hosting, staff needs, storage, miscellaneous friends & family communications
    Out-of-state categories of contact: vineyard & winery, ranch, inventory appraisals & digital auction (furniture/art)
  •  
  • 15% of role: House management for NYC Townhouse (3 Story, 10 minute walk from office)
    Flexibility to visit for deliveries/errand and coordination with vendors/contractors for renovations, maintenance, and moves
    Bi-weekly FreshDirect orders, monthly household supply stock
    Coordination of schedules (housekeeper, nannies, dog day care)

Qualifications

  • French & Spanish bonus of additional languages spoken besides English
  • Flexibility to travel internationally is a strong preference for this role

Requirements

  • 5+ years as Executive/Personal Assistant, House Manager, or similar role with HNW family and private residence experience
  • Strong organization, time management, and ability to think ahead
  • Strong communication skills both verbal and written
  • Maintaining confidentiality and discretion
  • Proficiency in Google Suite & Excel
  • Experience in tracking expenses
  • English required; French & Spanish bonus of additional languages spoken
  • Own a vehicle, comfortable driving to Orange County, NY and Long Island
  • Comfortable working in an environment with children and pets
  • References required

Salary and Benefits

  • $90-120k+ based on experience
  • $1,000 monthly health care stipend
  • PTO/Sick Day (15x days paid per calendar year)
  • Paid Federal Holidays
  • Annual 10% bonus
