Overview

An executive assistant/ office administrator is sought for a global strategic advisory firm based in San Francisco. This individual will look after 2 executives and support the day-to-day office management duties for the company’s San Francisco office. The schedule will be 8:30am-5:30pm, Monday through Friday, with flexibility, if needed. This is a hybrid position, with a minimum of 3 days in the office. The company values work-life balance to ensure employees have the time and space to focus on personal and family obligations. However, from time to time, there could be a need to work out of hours, address urgent matters, or virtually attend an early morning company-wide meeting.

Responsibilities

 

Office Assistance

  • Liaise with building management.
  • Ensure the office environment is kept to a high standard for both internal and external guests.
  • Order and stock groceries and supplies; accept packages and sort mail; track internal office travel schedules.
  • Ensure compliance with office security protocol and standards.
  • Taking ownership of processes and ensuring these are maintained.

Executive Assistant

  • Act as your Executive’s thought partner, anticipating their needs and managing their time in a fast-paced and fluid client-service environment.
  • Own and strategically drive the Executive’s diary; schedule (and reschedule) a dynamic flow of client and internal meetings.
  • Coordinate end-to-end travel; book domestic and international flights, cars, and hotels.
  • Process expense reports (NetSuite).
  • Enter CRM data (Salesforce).
  • Help plan, organize and curate bespoke events for c-suite guests in distinguished venues.
  • Support your Executives’ marketing efforts by conducting research, gathering information, and keeping them organized.
  • Build rapport with the business support team, Executive team, clients, and client EAs, and facilitate scheduling with friendliness, professionalism, efficiency, and close attention to detail.
  • Using sound judgment being proactive in anticipating needs of your executives and the wider office.

 

NB. This role does not typically require travel. However, there are opportunities to travel to other offices for training and development, and to other – sometimes far-flung – destinations for offsites and events.

Qualifications

  • 3+ years’ experience in the professional services industry

Requirements

  • US passport, Green Card or EAC 
  • Candidates must have a team-oriented mentality and take ownership and pride in the success of their Executives, offices and the firm.
  • Someone with a keen interest in understanding and connecting to the firm’s purpose, what they do, and how they serve our clients, will thrive best in this role.

Salary and Benefits

  • $130,000-$140,000, contingent on background and experience.
