Overview

A busy family in the Hamptons is seeking a full-time professional hospitality and house manage to oversee their 18-acre estate that consists of 2 homes and a pavilion, vineyard, orchard, wheat field, basketball court, tennis court, and 2 pools. The property has full-time staff including an Estate Manager, Facility Manager, housekeepers, and chefs. The expectation of this role is that the candidate will live full-time in the Hamptons. This role reports to the Estate Manager (EM) and Chief of Staff (COS).

This role will generally be a 40 hour per week role with a 24/7 mindset. The schedule will be as follows;

April through October - Wednesday-Sunday matching the primary and guest visits. Flexibility to work later into the evening (will start later those days). These months will be the heavier load of the job (holidays that fall Memorial Day through Labor Day will be expected to be worked unless otherwise arranged).

November through March - Monday-Friday, 9am – 5pm with weekend flexibility based on primary’s needs. 

Responsibilities

  • Providing seamless, top not hospitality for all family and visitors
  • Anticipating and planning for needs of family and guest and ability to adjust as needed
  • Greet guests and provide white glove experience for the duration of the visit
  • Working with EM/COS to manage the schedule of employees including tracking hours, sick days, and vacation
  • Supervising, coordinating, and training staff including giving staff daily and weekly tasks
  • On-site event management and other hosting including, but not limited to, tasks for all staff members, timing of dinner and service, tablescapes, flowers
  • Working with EM/COS to manage schedule of events and dinner parties hosted at the property as well as events and dinner parties at any other family related properties as needed
  • Working with outside vendors for events as the representative of the family and the home and being a liaison between the Mrs., COS, and vendors
  • Working with the facility manager on projects that need to be completed for the property
  • Oversee grocery and supply shopping and keeping inventory
  • Managing and assigning tasks for the closing and opening of the home at the beginning and ending of the season as well as maintaining the home in the off-season
  • Off-season tasks which may include deep cleaning, organizing, and training at both properties
  • When needed, provide hands on support to housekeeping team and chef
  • Overseeing and tracking deliveries
  • Escalate any necessary repairs or purchases that are beyond the scope of the household staff to the COS and head of maintenance
  • Report weekly and monthly project and update lists to the primaries
  • Running errands for the home as needed
  • Assist COS with administrative tasks related to the home and staff on menu prep with Mrs. and Chef
  • Aid COS in arranging and managing travel related to the main property including helicopters and car services for primaries and guests
  • Oversee household budget, expenses, and coordinate payments with accountant/family office.
  • Oversee outside food orders from restaurants and caterers
  • Use off-season to train staff at both properties and bring in educational/skill development and resources ie: bartending and wine, cooking, flower arranging, barista, meal service, and English lessons
  • Work with EM and facility manager to manage construction and service appointments for both residences
  • Work with EM to create and upkeep a house manual
  • Flexibility to expand responsibilities as properties expand

Requirements

Salary and Benefits

  • Salary is dependent upon experience with eligibility to receive a discretionary annual bonus (determined by taking into account your personal performance- payable on or before December 31st of each year)
  • Gas reimbursement for commute as well as reimbursement for tolls and parking when coming into the city
