Overview

A wonderful family in San Francisco, CA is seeking a house manager/family assistant to help their home run a bit more smoothly. The ideal candidate is a “Jack/Jill of all trades” and has no ego about jumping in where needed. The general schedule is Monday-Friday, hours are TBD, but the family can guarantee 40 hours per week. The family has two young children who have their own nanny, but the candidate must be comfortable around kids. This position also includes travel and helping get the family set up in various locations during the holidays, so someone open to travel is a must.

Responsibilities

Daily life

  • Package returns, library book returns
  • Mail management and bill pay
  • Prepare or pick up coffee / breakfast and lunch
  • Daily check-ins with staff
  • Daily review of home
    • Give feedback to housekeeper and property manager about what needs maintenance or cleaning
    • Take inventory and pick up supplies including meds, toiletries, etc.
    • Light cleaning (if housekeeper is at other house)

Travel

  • Packing for family ahead of trips
  • Traveling ahead and setting everything up: crib, stocking food, baby supplies
  • Unpacking, steaming and ironing clothes
  • Manage on the ground updates to schedule - e.g., setting up massages, coordinating shopping appointments, rescheduling things if we’re running late
  • Coordination with concierge travel team on all trip logistics

Household management

  • Putting together household manuals and process manuals
  • Managing vendors, maintenance schedule, troubleshooting when things go wrong
  • Doing weekly walk-throughs of each home and giving feedback to gardeners / housekeeper / handyman regarding improvements
  • Keeping everything stocked in principals bathrooms
  • Coordinating with interior designer on design, delivery, and install
  • Managing small home projects (e.g., setting up nursery)

Events

  • Coordinate with chef and housekeeper for at-home events
  • Manage decor / extras for at home-events (e.g., beverages, florals)

Staff

  • Help manage hiring process for new staff
    • Schedule interviews, initial screening calls
    • Reach out to people via more informal networks (e.g. GGM group for nannies)
  • Managing household staff
    • Giving feedback to staff
    • Getting feedback from staff about needs / pain points
  • Getting supplies for staff members

Car and driving

  • Commute driving as needed, driving of children as needed
  • Car maintenance and charging

Qualifications

  • Personable and friendly
  • Able to take initiative
  • No ego, but confident in their skills, and has the willingness to jump in where needed

Requirements

  • Experienced
  • Trustworthy
  • Very organized
  • Self-starter and able to take direction when needed but also anticipate the family’s needs
  • Excellent communicator
  • Ideally has connections to a lot of local restaurants and experiences
  • Must have a valid driver's license with clean driving record
  • Local to the Bay Area
  • Legal to work in the US
  • Trustline Registered, or willing to register
