Overview

Searching for an exceptional assistant and house manager (50/50) for a loving couple in West Vancouver, BC (Canada) who have a cat and a baby on the way. The couple has a very small family office, and the candidate will predominantly assist one of the Primaries in the household, while working closely with the other’s EA on matters such as travel and calendar management. The candidate will also have household management responsibilities, including coordinating service providers such as designers, cleaners, event staff, gardeners, childcare providers, and other support services.  


This is a full-time position and while the candidate should expect to spend 1-2 days per week on the property, the majority of work can be carried out remotely. This position requires good leadership skills, the ability to delegate/collaborate, and to work confidently on a variety of projects autonomously. The ideal candidate is solution-oriented with high energy and works quickly to get the job done. They should have experience in an operations-focused role and have the confidence to take initiative to improve processes. The position is intended to be 40 hours per week and they’re looking for someone flexible, efficient, and hardworking. The role is available to start immediately.

Responsibilities

  • Calendar management for the Primary’s varied personal and business requirements
  • Create, update, and confirm all varied appointments for Primary and household
  • Oversee travel arrangements and associated requirements for Primary’s needs. During busy times this can be supplemented by outsourcing to local concierges as needed
  • Create, update, and maintain itineraries 
  • Research and assist with personal shopping, gift buying, and gift wrapping 
  • Plan and supervise home entertainment, parties, dinners, and other events 
  • Recruit, train, and oversee household staff 
  • Manage the purchasing, stocking, and organizing of household items and groceries
  • Ability to assist with the general care of a cat including house/pet sitting and scheduling vet appointments 
  • Scan receipts, invoices, bills, and documents for filing in Google Drive 
  • Run weekly errands as necessary 
  • Check in and maintain the upkeep and security of the property while the principals are both present and traveling 
  • Answer security company alarm calls 24/7 
  • Identify and fix any and all maintenance issues and/or property-related problems that may arise 
  • Sourcing, vetting and hiring of outside contractors as needed to assist with the maintenance of the property
  • Manage vendors on-site, review work 
  • Assist with basic day-to-day needs at the properties such as coordinating and handling deliveries, resupplies, etc. 
  • Maintain and update a "House Operations Book" which contains all pertinent information about the house, property and smart home systems including maintenance schedule 
  • Oversee interior maintenance, including household staff
  • Dry cleaning delivery/pick-up 
  • Coordinate with vendors–including general contractors, plumbers, electricians, painters, carpenters, etc. in order to maintain the structures on the property
  • Assist in maintaining a current contact list of friends and family 
  • Assist with scheduling, record keeping, billing, documentation (insurance, etc.) for medical care and history 
  • Coordinate car maintenance

Qualifications

  • Excellent communication and organizational skills, familiarity and proficiency with all common chat and voice applications, email, spreadsheet software, productivity software, photo documentation, etc. including Google Suite, Notion, Savant, and WhatsApp and slack for messaging. 
  • Excellent collaboration skills to work together to solve problems and tackle tasks 
  • Flexibility to help get the job done without being too rigid, hard, or overbearing 
  • Proper social etiquette and ability to read the room 
  • Creative and intuitive thinking and problem-solving mentality
  • Good at drawing boundaries and getting tough when necessary 
  • Excellent at managing your own time and the principal's 
  • Detail-oriented, observant, proactive, eager for feedback

Requirements

  • Canadian citizen, permanent residence, or valid long-term visa, i.e. not in need of sponsorship and legally able to work in Canada; Ideally already local to Vancouver but this client is open to someone relocating from another province as long as they can do so in time and without assistance 
  • Valid driver’s license and reliable car 
  • Ability to lift up to 30 lbs (boxes, deliveries, etc.)
  • Willingness to get any vaccines needed due to a newborn in the home
  • The principals own a cat (maybe another to be added in the future) so candidates should be pet friendly and not have pet allergies 
  • Professional demeanor and the ability to discreetly deal with confidential information
  • Empathetic and able to stay calm and collected in high-pressure situations 
  • Ability and desire to foster a safe, supportive environment for all team members, ensuring they respect and value cultural collaboration, communication, and mutual support
