Overview

The CEO of a highly successful company is seeking a high-performing and sophisticated executive assistant who will serve as her right hand and administrative support.

 

The candidate will be based in Paris but this is an international company with a heavy and demanding calendar that includes frequent travel. The schedule is to be determined but the candidate should be flexible and have a 24/7 mentality. The candidate will be liaising with the CEO's executive assistant based in the US.

Responsibilities

  • Managing the CEO’s calendar and scheduling meetings
  • Booking and managing the CEO’s travel and preparing travel itineraries
  • Preparing materials for, and briefing the CEO for meetings
  • Monitoring and prioritizing the CEO’s email and incoming correspondence, and writing and editing emails on the CEO’s behalf
  • Facilitating communications to the staff (as directed)
  • Liaising with a variety of functions throughout the organization and representing the CEO and firm in a polished and professional way

Qualifications

  • The candidate should be well presented and know how to dress for every occasion.
  • Should be proactive and driven
  • Always have a positive can do attitude - every problem can be resolved!

Requirements

  • 6+ years of experience in an executive assistant role in fast-paced, entrepreneurial environments
  • Industry experience: Experience in, and an understanding of the music, entertainment, sports, or media industries. A good understanding of the financial/investment industry is helpful but not required

  • Intellectual horsepower: You’re bright and intelligent and deal with concepts and complexity comfortably. You’re described as intellectually sharp, capable and agile

  • Professionalism and Discretion: You maintain a high degree of discretion and display courtesy and professionalism in all interactions. You manage sensitive situations effectively and appropriately

  • Communication: You are an exceptional written and verbal communicator with a direct approach

  • Action orientated: You enjoy working hard, are action oriented and full of energy for things that you see as challenging. You are not fearful of acting with baseline information and filling in as necessary

  • Flexible: You understand things change. You perform various duties depending on shifting needs and are willing to pitch in wherever needed. You understand the 24//7 nature of the talent business- always changing and unpredictable

  • Attitude: You operate with the highest levels of honesty, integrity and kindness. You have good vibes only and a positive attitude and calm demeanor under pressure.

  • Interpersonal savvy: You can relate well to all kinds of people, build appropriate rapport and develop constructive and effective relationships. You use diplomacy and tact and can diffuse high tension situations

  • Priority setting: You spend your time on what’s important, quickly zeroing in on critical tasks. You can quickly sense what will help or hinder accomplishing a goal, eliminate roadblocks and create focus
