Overview

A highly organized and motivated chief of staff is sought to manage and oversee the personal and professional affairs of a high-net-worth individual. The role will be based in NYC but candidates will be required to spend time in Eastern Long Island when the Principal is in residence, especially during the Summer season. Private housing will be provided to the candidate during this time.

Responsibilities

 

Real Estate and Facilities Management:

  • Hiring, managing and oversight of the facilities manager. Ensuring that all operational procedures for the maintenance of all properties is well documented and routine inspections and maintenance are performed to avoid any disruption in services. Develop the long-term technology and A/V strategy and evaluate next generation products and service offerings.

Finance:

  • Approving all invoices ensuring that the bills reflect the services that were provided and processing them to corporate for payment.
  • Preparing budgets for ad-hoc projects for review and sign off by Principal and COO.
  • Issuing and revoking credit cards to any household staff; Oversight to ensure expenses incurred on the credit cards are necessary, appropriate and relevant for a particular business purpose.

Domestic Staff:

  • Hiring, managing, and oversight of all domestic staff (including housekeepers, groundskeepers, chefs, butlers, boat crew and other domestic staff, as needed), located across various properties in different locations: New York City, Dutchess County, Eastern Long Island, and maritime employees. This will necessitate flexibility and readiness to work from different locations. 
  • Ensure that proper cleaning methods and standards are being applied

Household Administrative Support:

  • Collaborate with all domestic staff and administrators to coordinate guest visitation and activities and ensure seamless operations.

Management:

  • Handle the scheduling of all household staff to ensure smooth transitions from various locations and to ensure all goals and objectives are met in a timely fashion.
  • Oversee the effective management of all staff members, including developing short, mid and long-term strategic goals/plans for each direct report and their respective areas of focus. 
  • Promoting growth and development opportunities, conducting periodic performance evaluations and development of on-site and off-site training. 
  • Work with COO to determine appropriate levels of compensation for household staff members.
  • Ensure proper inventory is kept on all valuables (art, wine, etc.)

Qualifications

The ideal candidate will have significant experience managing a variety of functions in a domestic/household environment (including facilities management, chefs, butlers, grounds keepers, etc.)  In addition, the successful candidate will have;

  • A proven record of relationship building and hiring and managing a high functioning team
  • An ability to design, implement, and improve upon operational processes

Requirements

  • Flexibility to work from various household locations across NY City and Eastern Long Island predominantly.
  • Strong operational acumen in a domestic/household setting.
  • Hands on leader who can design, implement and execute a strategic plan for the Principal’s personal and philanthropic endeavors.
  • Excellent communication skills to command respect and the ability to engage both internal and external constituencies.
  • Team oriented, excellent management and communication skills.
  • A high degree of interpersonal skills and diplomacy, strong collaboration skills.
  • Ability to build strong relationships and direct and prioritize all operational efforts within the household.
  • Ability to quickly grasp and solve complex problems, manage change in an extremely fluid environment, prioritize competing projects and initiatives and focus resources in-line with current priorities
  • US passport, Green Card or EAC 

Salary and Benefits

  • $185k-$250k+ | full benefits (medical, dental, vision, 401k)
