Professional single father is looking for a long-term, full-time, live-out, executive personal assistant, in Annapolis, Maryland. Relocation is being offered. This is a once-in-a-lifetime opportunity to work for a single father of two, and very well-respected businessman who recently sold his primary business and is beginning a new chapter in his life. This new chapter includes the start-up of philanthropic initiatives and new private investments along with streamlining household affairs. The ideal candidate will be well-versed in hospitality protocol and will have experience working for UHNW families engaged in philanthropy.
The executive personal assistant must have a minimum of six years experience working as an executive and/or personal assistant. Preference will go to a who has corporate and private home experience. Preference will also go to a candidate who has a BA/BS. This person must know MS Office, including word, excel, and powerpoint, must have experience managing emails and calendars, making travel arrangements, scheduling zoom calls, booking and managing appointments, financial management, and have a keen eye for detail, be able to multi-task, and have exceptional accountability and follow through to see all tasks completed.
This is a very demanding yet rewarding role. The executive personal assistant will work hand-in-hand with the Yacht’s Captain, Chefs, and Financial Managers. Because of the ever-changing schedule and high-pressure demands of the role, candidates need to have a demonstrated history of working in high-pressure environments. Being very resilient and having a can-do attitude is absolutely essential in this role. Because the principal has a growing number of estates, it is possible to see the schedule suddenly change and the assistant would need to relocate to another locality on very short notice temporarily or perhaps permanently.
Duties and responsibilities for this role include but are not limited to- being a confidential gatekeeper- being diplomatic as a right hand is essential as access to the Principal is limited by familial commitments. Calendar management - personal, professional, and familial. Family travel coordination- coordinate travel for all family members with a mixture of private and commercial travel. Book lodging, rental cars, and any required equipment. Yacht management- working in cooperation with the Captain, coordinate service providers for cleaning, coordinate personal trips and parties and coordinate Charters. Child shuttling- periodically drive and/or pick-up Principal’s youngest son to/from school during the fall. Estate management- work in cooperation with Financial Managers, Attorneys and Advisors.
Philanthropic management- coordinate the establishment of a new foundation and assist with the direction of the foundation’s funds. Vendor management- ensure vendors are properly vetted, and 3 bids received for all support. Coordinate a broad range of support from chefs to grounds maintenance, to construction projects. Event planning- prior experience planning small and mid-scale events. Shopping- light food shopping, clothing shopping, and any other household shopping. Mother’s health care coordination- coordinate ailing mother’s medical appointments, support team (nurses, doctors, etc) and ensure transportation to medical appointments, including driving her from time-to-time. Bill payment- pay invoices and household bills.
In most instances, this role's hours will be, Monday through Friday, between 7:30am - 5:30pm working out of the home office. However, during times the principal is engaged in special projects, hours could increase substantially, especially when the candidate accompanies the principal out of town. Compensation package includes medical, PTO, paid sick/personal days, paid holidays (but should be flexible to work if needed), and a performance-based yearly bonus.
The candidate will need to pass a series of checks- criminal and other background, employment history, education, credit, driving record, and a personality test. All prior employment must be verifiable and outstanding recommendation letters are required. The executive personal assistant must have their drivers' license and own car, or have the ability to get their own car.
